AISL Foundation Limited (“AISL Foundation”) is a charitable arm of Asia International School Limited (“AISL”). We respect the privacy of individuals. Committed to fostering educational excellence and opportunity across Asia, we ensure that the collection, usage, storage, transfer, and disclosure of personal data comply with the Personal Data (Privacy) Ordinance (Chapter 486 of the Laws of Hong Kong SAR) (the “Ordinance”). This Privacy Policy Statement outlines our policies and practices for handling personal data with diligence and care.
Data Collection
When engaging with AISL Foundation, including but limited to applying for scholarships and awards, participating in educational activities, events and programmes and related initiatives, making donations, lodging complaints, or visiting our website or mobile applications, the following kinds of your personal data may be collected:
Participants / scholarships and awards applicants / service users: Name, telephone number, email address, mailing address, date of birth, identity card/passport number (where applicable), parent/guardian information, name of school currently attending, academic records, bank account information and other relevant details.
Donors: Name, telephone number, email address, mailing address and whether an alumnus of an AISL Harrow school.
Complainants: Name, telephone number and email address.
Although the provision of your personal data to us is on a voluntary basis, provision of mandatory information, as indicated on the relevant forms or otherwise required, is essential. Failure to provide complete and accurate data may prevent AISL Foundation from delivering the services or opportunities you seek.
Data Usage
Participants / scholarships and awards applicants / service users: Data collected will be used for processing applications and enrolments, administering scholarships, awards and programmes, issuing receipts or acknowledgements, gathering feedback, conducting analyses to enhance our offerings, and supporting initiatives aligned with AISL Foundation’s mission to advance education.
Donors: Data collected will be used for issuing receipts or acknowledgements.
Complainants: Data will be used to investigate, respond to, and follow up on complaints.
We may disseminate promotional materials and information pertaining to our scholarships, programmes, courses, services, events, and appeals for support or donations to AISL Foundation and its affiliated entities, employing the contact details you have voluntarily provided. To opt out of receiving such communications, please email us at info@aislfoundation.org.
We may, from time to time, use your personal data to send direct marketing materials to you. Appropriate mechanisms are provided to enable you to opt out of receiving such communications at any time, without charge. For further details, please refer to “Use of Personal Data in Direct Marketing” below.
Use of Personal Data in Direct Marketing
We intend to use the personal data you provide to us including your name, telephone number, email address and mailing address to conduct direct marketing for delivering to your promotional materials and information pertaining to our scholarships, programmes, courses, services, events, and appeals for support or donations to AISL Foundation and its affiliated entities via telephone calls, instant messaging, emails and by post. We also intend to, and in this regard, you consent to, transfer and provide the above-mentioned data to AISL group companies to conduct direct and promotional activities for the purposes of improving and personalising our services. We may not use or provide the above-mentioned data for direct marketing unless we have received your consent. Your consent may be communicated to us without charge at the time when you provide such data through our website or by writing to us.
If you do not wish us to use or provide to other persons your data for use in direct marketing as described above or do not wish to receive particular types of direct marketing materials or do not wish to receive such materials through any particular means of communication, you may exercise your opt-out right by notifying us by email at info@aislfoundation.org. Please be assured that even if you have chosen not to receive our direct marketing materials, we shall continue to provide you with our services.
Data Sharing and Disclosure
The personal data you entrust to us will be accessible solely by authorised personnel within AISL Foundation, the AISL group companies and the AISL Harrow family of schools, comprising AISL Harrow International Schools, AISL Harrow LiDe Schools, AISL Harrow Hong Kong Children School, and AISL Harrow Little Lions Early Years Centres, on a strict need-to-know basis for delivering our services. In our commitment to transparency and ethical conduct, we neither rent, sell, nor arbitrarily share or disclose your personal information to external parties or unaffiliated organisations, save in the following circumstances:
- to agents, contractors, or third-party service providers who assist in administrative, technical, educational, or ancillary services essential to our operations and who are contractually bound to maintain confidentiality and protect your personal data;
- where the requested service is delivered by the relevant entity who is contractually bound to maintain confidentiality and protect your personal data;
- with your express prior written consent;
- where we deem it imperative to share information for the investigation, prevention, or mitigation of unlawful activities, suspected impropriety, or threats to personal safety; or
- to comply with applicablelaws, statutory obligations, regulatory requirements, legal proceedings, government directives, or official administrative requests.
Data Transfer
If deemed necessary, AISL Foundation may transfer your personal data to places outside Hong Kong, in order to carry out the purposes or directly related purpose(s) for which they were collected. Your personal data may not be protected to the same or similar level as it would in Hong Kong. However, we will take all reasonable measures to ensure that your data is processed and stored securely, regardless of the places in which it is processed or stored.
Data Retention
AISL Foundation will only retain your personal data within the period that retention is necessary for the fulfilment of the purposes stated during collection, including the purposes of satisfying any legal, accounting, or reporting requirements. Shall the personal data we keep be no longer required for the stated purposes, they will be erased within a reasonable timeframe.
Information collected when you visit AISL Foundation’s websites
Internet technology requires some basic information in order for you to use our online services smoothly. The basic information should include but not limited to IP addresses and/or domain names, browser type and settings, language settings, geographical district, operating system, and time/duration of visit. These data are anonymous and cannot be used to identify you under general situations. When your personal identifiable information is involved or collected on AISL Foundation’s websites, you will be prompted about the collection and be asked to give your consent.
Personal Data of Minors
We place great importance on protecting minors’ personal information. If you are a minor, we require your parent or guardian (as registered with your school) to carefully read this Privacy Policy Statement and consent to your provision of personal information to us.
If we identify you as a minor through your application or enrolment, we will require consent from your parent or guardian (as registered with your school) for collecting and using your personal information.

Protection Measures
AISL Foundation employs robust measures to protect personal data from loss, unauthorised access, use, modification, transfer, or disclosure. Our website uses SSL encryption to secure data transmission. Access to personal data is restricted to authorised personnel only. Registered users are responsible for safeguarding their login credentials and any actions taken under their accounts.
Data Access and Correction
We kindly encourage you to inform us of any alterations to your personal information, as this enables us to continue providing the support and opportunities you require without interruption. Requests for access or correction may be submitted by completing the Data Access Request Form (OPS003), obtainable from the Office of the Privacy Commissioner for Personal Data at https://www.pcpd.org.hk/english/publications/files/Dforme.pdf and sending the completed form to us by email at info@aislfoundation.org, by post to, or in person at our office at, the address as set out below, or via a written submission directed to info@aislfoundation.org. Upon receipt, we shall verify the requester’s identity to confirm entitlement under the law. In accordance with section 20 of the Ordinance, we reserve the right to decline compliance in certain circumstances, such as where requisite details are not furnished. In all cases, we will answer your request in 40 calendar days. A fee may be charged for complying a data access request.
Revision of this Statement
AISL Foundation reserves the right to revise this Privacy Policy Statement. Any updates will be announced on our website at https://www.aislfoundation.org/privacy-policy/. By continuing to use our website or our services after the changes come into effect, you agree to be bound by the revised Privacy Policy Statement.
